Terms of service

Hesabu helps you record sales, expenses and stock, and works out reports such as profit and loss and a balance sheet from what you record. Household and personal books are free. Business workspaces are a paid subscription.

• Each new business workspace gets a 60-day free trial with every feature. One trial per workspace.
• After the trial, a business workspace costs KES 10,000 per year, paid in advance. There is no monthly plan.
• Pay within the first 30 days of your trial and you get 15 months for the price of 12. Paid time always starts when your trial ends, so paying early never costs you free days.
• Payment is by M-Pesa. Your subscription is active once we've confirmed the payment, usually within a few hours.
• We'll give you at least 30 days' notice of any price change, and it applies from your next renewal.

Your books are never deleted for non-payment. The workspace becomes read-only: you and your staff can still open and export everything, but can't record new entries until the subscription is renewed.

Because you can try everything free first, we don't refund part-used years. If you were charged by mistake — paid twice, or paid for the wrong workspace — tell us within 30 days and we'll put it right. Nothing here limits any rights you have under Kenyan consumer law.

• Keep your password private. You're responsible for what's done in your account.
• A workspace's owner decides who has access and at what level, and is responsible for the people they invite. Remove anyone who no longer works for you.
• Use Hesabu only for lawful purposes, and don't try to access workspaces that aren't yours.

Everything you record belongs to you. You can export it to Excel at any time, and we'll never hold it back — even if you stop paying. How we handle it is set out in the privacy policy.

Hesabu calculates reports from the entries you make. It is a record-keeping tool, not accounting, tax or legal advice. You're responsible for the accuracy of what you record and for your own tax returns and filings with KRA. For decisions that matter, check with a qualified accountant.

We work hard to keep Hesabu running and your data safe, including nightly backups, but we can't promise it will never be interrupted. Hesabu needs an internet connection, and we may occasionally pause it briefly for maintenance.

To the extent the law allows, we aren't liable for indirect losses such as lost profit or lost business, and our total liability to you is limited to what you paid us in the 12 months before the problem arose. Nothing here excludes liability that can't be excluded under Kenyan law.

You can stop using Hesabu at any time, and delete any workspace you own from the app. We may suspend an account that breaks these terms or puts other users at risk; except in urgent cases we'll tell you first and give you the chance to export your books.

We may update these terms; if a change matters, we'll tell you in the app or by email at least 14 days before it applies. These terms are governed by the laws of Kenya.
